Rochester Squash Racquets Association Board Meeting Nov 9, 2005

November 10th, 2005 Chris Thomas Posted in Board of Directors

Minutes from the November BoD meeting. League startup, update on the Pro tournament.

Present: Bob Gerace, Mithun Mukherjee, Andy Butler, Morgan Smith, Eric Hernady, Bob Good, Tim Broshears, Chris Thomas.

October Minutes: Approved as submitted.

Treasurer’s Report: Andy presented the latest cash flow and investment statements. Investment accounts were down last month, to be expected occasionally. Membership dues have been coming in but 10 or so have paid at last year’s rate ($25 instead of $40). This is partly due to our lateness in getting the new form available. While we are at fault, Hugh will send out a note to them clarifying the situation and asking that they voluntarily contribute the difference. Report approved as submitted.

Pro Update: We have obtained a banner for the Pro and local tournaments and events. It will provide very nice photo ops. A prototype of the brochure was distributed for comments. Sponsors will be able to contribute at various levels, platinum, gold, tin though Morgan suggested double yellow, single yellow, red, blue. The informational letter for potential players was reviewed before going to the PSA. There are 12 pros signed up so far, in the 150-300 range. As the final signup date approaches, higher ranked players will apply. A separate web site (www.rocprosquash.com) will be established for player communication and general information. We are still short of Housing and Transportation czars, Bob Gerace and Bob Good will talk to the MT and MC community to drum up volunteers. Food is coming together with a recipe similar to last year’s.

City Leagues: While off to a generally good start, there are still too many players who have not paid membership dues. This is a potential train wreck as automatic defaults will start popping up next week. Club reps are expected to communicate this issue to the team captains for resolution. Individual player status can be viewed at wwws.vex.net/~blanding/rsra/mbrStatus.py. Also, club reps are asked to solicit membership dues from inactive past players in order to support the organization. There was also some discussion about sharing of players between teams and divisions, to be continued at a future date.

Fred Weymuller Permanent Membership: Bob Gerace has sent out the letter bestowing lifelong membership on Fred.

Web Site Ads: We will solicit ads for the site. They will be roughly business card sized images that appear in the top right corner of each page, randomly selected from all ads. The price will be $60 per year ($5 a month). Later, we may consider permanent/fixed ads too. All BoD members are asked to solicit interest from potential advertisers.

Endownment Fund: The subcommittee has recommended a Vanguard fund. The fund willl be drawn down at an annual rate of up to $2000 for worthy events. A simple majority vote by the BoD and two or three signatures will be required in the future for any changes to the fund. Andy will send out a summary document for review by the members for final vote at the next meeting.

City Ladder: Lindsay Crawford has taken over the ladder from Chip Nimick. All club reps are asked to send to him a list of all defunct players so that it can be scrubbed to accurately reflect actual players. Note that this only affects the city ladder and club reps will have to clean up their club ladders using the boxleague adminstration functions.

Insurance: Andy got another quote of $1600. The BoD has decided not to pursue insurance at this time.
